As a Payroll Specialist you will be responsible for the payroll activities as well as benefit management in order to ensure that employees are paid and informed regarding any compensation and benefit matters in a timely and accurate manner. Provide information and advice to all stakeholders within the legal and company framework and guidelines.
Payroll administration:
• The full management of the company's payroll in order to process salaries correctly and on time in an efficient and effective manner. • Preparing, executing and checking the payroll process in accordance with legislation and company guidelines. • Timely and correct processing of data and mutations in the HR software. • Correct and timely data entry • Execution and control of payroll processing, holiday pay, end-of-year bonus, etc. • Anomaly management in the HR software • Monitoring the payment of temporary workers in order to ensure that they are paid correctly via the temporary employment agency and ensure that invoicing can be followed up correctly
Legislation and regulations: • As a professional service provider, explaining updates in compensation and benefits legislation to HR colleagues so that they themselves or through the HR Business Partners/Advisor can provide correct information to employees and advise them in their choice. • Keep up to date with prevailing developments in laws and regulations related to the role. • Analyzing the impact of changes in laws and regulations and making adjustments in the payroll/salary administration and the related procedures.
• Internal contact point for frequent questions on payroll legislation (dismissal deadlines, employment conditions, etc.). • Maintaining compliance with legislation and regulations and communicating where appropriate.
Reporting, giving information and advice
• Maintaining various contacts internally and with external bodies. • Providing information to /advising HR, managers and employees on payroll matters. • Answering payroll-related questions from employees • Informing HR about payroll technical consequences of policy changes • Taking care of various (ad hoc) reports to ensure that management has the requested information to take decisions. • Providing standard and ad hoc HR reports and analysis of the content of these reports where appropriate
Benefit administration: • The management of benefits in order to process the allocation and payment of benefits in an efficient and effective manner. • Preparatory and control activities to shape the benefit management in accordance with legislation and company guidelines. • Timely and correct processing of data in the HR software. • Co-designing and executing the benefits management within the legal and company-specific context. • Registration and declarations of various insurances.
Relational, point of contact, support
• Acts as first-line contact regarding payroll & benefits related questions for the managers, employees and HR colleagues so HR is experienced as a customer-focused and expert service provider. • Is the point of contact for all internal and external payroll and benefits partners and suppliers. • Welcoming new employees in order to familiarize them with practical HR-related matters such as holiday requests, access, etc. • Contact point for company cars, Health insurance, etc. • Contact person for payroll partner, government agencies, and benefit providers.
Knowledge management
• Knowledge management of HR information documents. • Keeping the HR documentation on compensation and benefits up to date, both for internal and external use. • Support for the application management of the HR payroll software and, where necessary, making proposals for improvements + development and implementation. • Monitoring the translation of payroll regulations into the HR payroll software. • Ensuring efficient (digital) availability of basic HR information in the company. • Setting up HR intranet for compensation and benefits matters. • Provide information and documentation on all existing benefits. • Keeping data in HR systems up to date. • Setting up and maintaining an information flow regarding personnel data starting from a self-service aspect.
